01. ESCROW OFFICER

Preparation of all documents associated with the processing and closing of escrow, conveyance of title, recording of documents, clearing of title requirements and issuance of title insurance. Interviews escrow principals to obtain pertinent facts, directs the prepara­tion of escrow instructions, drawing of documents, issuance of title policies and the disbursement of funds, and otherwise assists escrow principals, their lenders and/or agents in the consummation of escrows involving the financing or sale of single family and small multi-family residences. Reconciles escrow instructions with commitment and/or preliminary title report. Develops and maintains business by the extensive application of basic marketing and customer service techniques.

REQUIREMENTS
  • Manages time, appointments, and schedule in an efficient manner.
  • Effectively communicates in person and on the telephone with clients and customers. Answers customer questions and/or telephone calls concerning status of pending items in the escrow files. Takes proactive approach to providing status updates for Agents (i.e., closing status or information still required to close or title requirements that need to be addressed.)
  • Obtains demands/releases to clear title.
  • Draws instructions and supporting documents for signing.
  • Audits and closes file when all funds and documents are received.
  • Reviews commitment and/or preliminary title report to verify vesting and legal description. Compares exceptions shown in title report with buyers', sellers', and lenders' instructions for possible liens or encumbrances not authorized in escrow or lender instructions.
  • Reconciles discrepancies between instructions and title report with title officer and/or principals by modifying escrow instructions or assisting principals in obtaining releases of liens and other encumbrances.
  • Orders beneficiary statements or demands, fire insurance, loan interest, rents and other prorated items.
  • Preparation of settlement statements showing detailed breakdown of escrow, title, loan, brokers' commis­sions and other changes. Requests the issuance of title policies or other evidence of title.
  • Trains, supervises, guides, and assigns and reviews the work of one or more escrow technicians, assistants, secretaries and/or receptionists. Assists in training escrow officers.
  • Maintains confidentiality of all proprietary information and escrow transactions.
  • Understands and complies with escrow accounting procedures and Good Funds Law.
  • Develops and maintain clientele by effective solicitation of business.
  • Attends client and business development functions. Represents company in public, customer and community relations activities. Attends client luncheons, dinners, realty board meetings and company tours, makes speeches and presents prepared educational programs to client and other interested groups.
WHAT WE EXPECT?

02. ESCROW ASSISTANT

As an Escrow Assistant, you will be required to assist the Escrow Officer on all files, including providing a double audit process when reviewing and funding closings. You will provide backup for the Officer, from managing all aspects of escrow transactions to covering the desk as needed.

REQUIREMENTS
  • Check incoming purchase agreements for accuracy and prepare them to be signed.
  • Forward purchase agreements to Escrow after they’ve been scanned.
  • Check incoming option & flooring orders for accuracy and prepare them to be signed.
  • Process Buyer’s deposit checks and send to Escrow.
  • Prepare documents for phase releases, including project and/or lot specific documents, BRE & HOA documents, monitor/oversee Assistant regarding Phase release documents. Update checklist with new documents for phase release.
  • Enter purchase agreement information into tracking system.
  • Send documents to escrow company as needed.
  • Assist Escrow Manager with “Push” or “Non-Performance” letters as needed.
  • After close of escrow, provide copy of final options for accounting and close file.
  • Monitor receipt of Grant Deeds and review for accuracy.
  • Notarize various documents as needed.
  • Distribute various weekly reports and schedules.
  • Interact with Sales, Design Center, and construction teams, as well as Escrow and lenders.
  • Correspondence, phone calls, courier, and scan as needed.
  • Track online changes to disclosures and provide to sales.
  • Track Job Cards & distribute to escrow company & lenders.
  • FHA – Monitor project approval & request Termite certs & request termite treatment for certain projects.
WHAT WE EXPECT?

As an Escrow Assistant, you must be highly motivated, organized and detail oriented with the ability to thrive in a fast-paced, high volume and deadline-oriented environment. It is also important that you have excellent verbal and written communication and interpersonal skills as well as the ability to deliver superior customer service.

  • High school diploma or equivalent.
  • Minimum 2 years of escrow experience.
  • Familiarity with escrow software prefered.
  • Excellent computer skills: escrow tracking application, Outlook, Excel and Word.
  • Excellent oral and written communication skills.
  • Ability to consistently meet deadlines, demonstrate strong follow through, and to follow departmental procedures.
  • Ability to function effectively as part of a team.
  • Ability to comprehend and write instructions, correspondence, and memos using proper punctuation, spelling and grammar.
  • Desired skill: Notary Public or willingness to become one.

03. TITLE MARKETING REP

The Marketing Representative will be responsible for Calling on and identifying customers who can direct title business by building personal and business relationships that lead to recurring title orders by providing truly remarkable service.

REQUIREMENTS
  • Be responsive to all customer inquiries in a professional and proactive manner.
  • Networking and building effective internal and external relationships with vendors, Real estate brokers, escrow, lenders and support team members through the delivery of truly remarkable service.
  • Accurately take instruction and ownership of issues and problems arising from vendors, Real estate brokers, escrow, lenders and support team members and seeing them through to completion.
  • Must always look for new and creative ways to attract new business opportunities.
  • Must be able to prioritize daily, weekly and monthly projects according to the needs of the internal and external customers.
  • Knowledge of document types, property profiles and the title process and ability to effectively explain the contents of each.
